Host Your Event at the NAPABA Convention

Take advantage of the energy and reach of the NAPABA Convention by hosting a reception, breakfast, business meeting, or meet and greet within the official Convention venue space(s). Partner organizations who rent space through NAPABA (“Event Organizers”) receive a number of benefits including:

  • Prime location within the official convention hotel(s);
  • Waived room rental and food & beverage minimums;
  • Inclusion in the official Convention agenda and marketing materials, if requested;
  • and NAPABA staff as a resource should issues arise with the venue.

This year’s hosted events will be scheduled at the JW Marriott LA Live and the Hotel Indigo Los Angeles Downtown.

Space Assignment Process: Space is assigned once all NAPABA events are scheduled. Space is limited and assigned on a first come, first served basis.

Fees

An administration fee must be paid directly to NAPABA for the use of the space. The fee includes the use of basic furniture and a listing on the convention website and mobile app (if requested). Additional AV equipment, labor, food/beverage, and furniture will be at the expense of the Event Organizer and must be arranged directly with the hotel or vendor.

Additional fees incurred by NAPABA for any room setup and breakdown requests beyond the standard NAPABA room set options are the sole responsibility of the Event Organizer. You will be promptly notified if such fees are anticipated to occur. 

Payment: Administrative fees must be paid to NAPABA within 10 business days of invoice date. Should payment not be received within this time period, assigned space may be forfeited and offered to the next group. 

 

Additional Timeslots

Hosted events may only be held in the timeslots listed below. Requests for times not listed will be approved at the discretion of NAPABA and may incur an additional cost.

  • 11 am - 4 pm

Friday, Nov. 13 

  • 7:30 am – 9 am 
  • 7:30 pm – 11:30 pm 

Saturday, Nov. 14 

  • 7:30 am – 9 am 
  • 5 pm – 6 pm

Policies

Cancellation Penalty: If an Event Organizer cancels between the date of booking and October 16, 2026, a refund will be issued minus 25% of total invoiced amount. If the cancellation occurs after October 16, 2026, no refunds will be issued.

Alcohol Policies

Subject to the limitations below, Event Organizers may serve beer and wine at events hosted after 5 pm. Spirits are not allowed at receptions hosted within NAPABA’s contracted space. If beer and wine is served, groups may choose one of the following options:

  1. Cash Bar – Attendees pay for their own drinks.
  2. Hosted Bar – The Event Organizer pays for the drinks. The hosted bar is strictly limited to the estimated number of attendees per hour. Drink tickets, based on the estimated number of attendees, will be provided by the hotel. For example, if an event is hosting 50 guests for a one-hour reception, the host will receive 50 drink tickets to be distributed to its guests.

General Policies

  • Event Organizer agrees to abide by all operational policies and procedures that guide and govern NAPABA and the Convention.
  • Events may only be held in the timeslots listed above.
  • NAPABA’s logo cannot be used in promotional and onsite material without the approval of NAPABA. To request use of the logo, email conventions@napaba.org.
  • NAPABA reserves the right to make schedule changes. Do not publish the location of your event(s) until after October 16, 2026.
  • NAPABA reserves the right to leave audiovisual equipment, podiums, and head tables in rooms during your event(s).

Registration Policies

All individuals attending a hosted event under this policy must be registered (whether full-day or one-day registration) for the NAPABA Convention. A special event ticket (e.g., Gala only) or a guest registration does not qualify as a Convention registration.
