Call for Programs

General CLE Programming

NAPABA is seeking program submissions on a wide range of substantive legal matters and topics of concern to the legal community to deepen our members'  knowledge and skills and provide them with the opportunities to forge bonds through panel discussions, workshops, and interactive presentations for the 2021 NAPABA Convention. We strive to represent a broad range of experiences, perspectives, and backgrounds in our general CLE programming so as to appeal to the broadest extent of NAPABA’s diverse and multi-faceted membership. We are also mindful of the feedback we have received from past attendees, such as requests to include more programs about public interest and non-traditional lawyering. We are committed to inclusivity and innovation, but we need your help to expand the scope of submissions to include all of the topics that are of interest to our membership.

Specialty Programming

NAPABA is also seeking program submissions for our specialty programming. During the Convention, special workshops and programs are held by our committees and networks to provide our members with the deep-dive skills and knowledge to excel in their practice and career. This series of workshops is designed to provide experiential learning opportunities in an immersive and interactive environment and provide our members with the opportunity to get into the details with experts in the field, beyond what may be possible during a general CLE session. The Specialty Programming tracks include:

  1. International Law Symposium presented by the International Law Committee
  2. Solo & Small Firm Bootcamp presented by the Solo & Small Firm Committee
  3. Women's Leadership Workshop presented by the Women's Leadership Network

Please note that the Women's Leadership Workshop is not seeking submissions through the Call for Programs.

How to Submit a Program

  1. Review the 2021 Submission Policies and Guidelines for details on our selection criteria. Failure to comply with our policies and guidelines may result in the rejection of your submission.

  2. Decide if you are submitting your program for general CLE programming or for one of the Specialty Programs. You may not submit the same program for both general CLE programming and Specialty Programming. Programs rejected for one of these slots will not be considered for the other slot. Please note that the Women's Leadership Workshop is not seeking submissions.  

  3. Gather the details required to submit your program:
    1. Title (100 characters or less)
    2. Description (1500 characters or less, roughly 250 words)
    3. Interactivity of program
    4. Learning objectives
    5. Speaker Details
      1. First and Last Name
      2. Moderator or Speaker?
      3. Confirmed or Invited?
      4. Educational degrees such as BA, JD, MBA, etc.
      5. Email Address and phone number
      6. Job title and employer name
      7. Short biography (1500 characters or less, roughly 250 words) that will be published in Convention materials

  4. IMPORTANT! The submitter must be a confirmed moderator or speaker on the program that is being submitted. NAPABA will only be sending emails to the submitter throughout the Call for Programs process, and the submitter will be considered the primary contact for your program if it is accepted.

  5. Submit your program by March 16, 2021 at 5 p.m. ET. Late submissions will not be considered. Do not wait until March 16 to begin the submission process as questions that arise on the day of submission deadline may not be answered in a timely manner. You may begin the submission process and save a partially completed application at any time. Once you save your work, edits can be made any time before March 16 at 5 p.m. ET.

Call for Speakers

NAPABA is seeking moderators and speakers for the 2021 NAPABA Convention, Nov. 4-7! Lend your knowledge to a CLE panel and raise your professional profile by showcasing your expertise at the largest gathering of AAPI legal professionals!

Convention speakers are eligible for complimentary registration for the day of your speaking engagement and speaker CLE credits (varies by jurisdiction). Other benefits of speaking at the NAPABA Convention include:

  • building and increasing your brand awareness
  • representing your law firm or company as a leading expert in the field
  • networking with potential clients and others in your industry
  • building credibility as a subject matter expert

Join this year's speaker database by filling out an application form. Applicants are automatically entered into the speaker database. Should an opening need to be filled in the Convention program, you may be contacted by NAPABA staff or your contact information may be shared with program chairs..

Submitting an application does not guarantee a speaking role. Speakers will be notified on a rolling basis.

Moderators and speakers may not serve on more than one panel, and NAPABA may exercise discretion to add, remove, or substitute speakers.

Q. What kind of programming is NAPABA seeking for the 2021 NAPABA Convention?
A. We are seeking program submissions on a wide range of substantive legal matters and topics that are current and are of concern to the legal community. We are also mindful of the feedback we have received from past attendees and encourage submissions on government, public interest, and non-traditional lawyering topics. Submissions must be legal in nature and should qualify for CLE credit.

Q. When is the last day I can submit a program proposal?
A.
The Call for Program closes on March 16 at 5 p.m. ET. Late submissions will not be considered.

Q. Can I submit more than one program?
A. Yes, you may submit more than one program.

Q. What happens if I submit two or more programs and they are accepted?
A. If two or more of your programs are accepted and you are a speaker on each program, you may only speak on one program. We are mindful of the feedback we have received from past attendees who want to see a variety of speakers at the NAPABA Convention and hear from fresh perspectives.

Q. Can I speak on more than one program at the NAPABA Convention?
A. An individual may be listed on any number of submissions; however, an individual, regardless of role, may present in no more than one Convention program. We are mindful of the feedback we have received from past attendees who want to see a variety of speakers at the NAPABA Convention and hear from fresh perspectives.

Q. What is the maximum number of people I can have on my panel?
A. We recommend no more than five speakers, including the moderator, on any program, so that each speaker has ample time to speak during the time allotted for CLE programs.

Q. How long will each CLE program be?
A. Each CLE program is allotted 75 minutes and should allow for Q&A at the end of the program. We recommend a 60-minute program with a 15-minute Q&A.

Q. Can I request to schedule my program for a particular day?
A. Programs are scheduled according to several criteria and factors. For this reason, we do not take requests for when to schedule programs, nor will we make exceptions once a program is accepted, including to accommodate travel arrangements.

Fees

Registration for the in-person 2021 NAPABA Convention is now closed.

International Law Symposium presented by the International Law Committee
For the past ten years, the International Law Committee has presented an annual International Law Symposium at the NAPABA Convention. The Symposium begins with a luncheon followed by CLE sessions on a range of public and private international law topics. In past years, CLE sessions have focused on cutting-edge areas of international law including intellectual property, national security and dispute resolution. Previous luncheon speakers have included diplomats, federal judges, international business leaders and prominent authors.

Women's Leadership Workshop presented by the Women's Leadership Network
The Women’s Leadership Network hosts a workshop each year at the annual NAPABA Convention focused on issues specific to advancing the careers of APA women attorneys at all stages of their careers. The workshop focuses on topics such as leadership, soft skills, career advancement/business development, and addressing cultural barriers or other such issues which may be impacting APA women in their legal careers. The content is delivered through a mix of a luncheon keynote, panel discussions, and interactive skills seminars.

The Solo & Small Firm Boot Camp provides programming that is specifically tailored to the needs of solo and small firm practitioners, as well as those interested in starting a solo or small firm practice. In past years, the Solo & Small Firm Boot Camp included CLE sessions on a variety of soft skills and substantive topics including business development, law office management/expansion, presentation skills and strategy, a multidisciplinary approach to advising entrepreneurs, and employment law.

Health & Safety

NAPABA remains committed to the safety and well-being of its members and invited guests at the 2021 NAPABA Convention. As such and given the continued existence of COVID-19, NAPABA will observe the following COVID-19 safety protocol. In developing this safety protocol, NAPABA reviewed applicable requirements and guidelines, including those imposed or recommended by the CDC, the DC government, and the Washington Marriott Hotels, as well as conferring with various other bar associations (e.g., the ABA) and Convention management specialists to ascertain current best public health practices. NAPABA will continue to draw on these sources leading up to and during our Convention and will update this COVID-19 safety protocol as the situation or prudence dictates. We will promptly promulgate any changes to the protocol.

  • Registration for the 2021 NAPABA Convention closed on Monday, December 6, 2021. Registrations, including walk-in or onsite registration, will not be permitted under any circumstance.
  • All attendees must be vaccinated and provide COVID-19 vaccine validation (on or before Monday, December 6); OR provide proof of a negative COVID-19 test performed within 72-hours of onsite arrival at the 2021 NAPABA Convention (only for those with pre-approved medical or religious exemptions).
  • If you have had close or proximate contact with a COVID-infected individual or you or anyone around you is feeling ill or experiencing cold- or flu-like symptoms during the two weeks leading up to the Convention please DO NOT travel to or attend the Convention.
  • As of November 22, D.C. has lifted the indoor mask mandate. However, masking continues to be a highly effective strategy to mitigate the spread of COVID-19 and variants. NAPABA strongly recommends that all attendees wear a mask during Convention events.
  • All Convention attendees will be required to acknowledge and agree to: (1) the COVID-19 Certification, Acknowledgement and Liability Waiver; and (2) NAPABA’s Standards of Professionalism.

COVID-19 Testing

Your health and safety is NAPABA's highest priority. Our onsite safety protocols can be found   here  . If you would like to supplement the efforts we are making to keep you safe, you may wish to get tested while here with us in Washington.   Here is a list of local testing sites for your reference  . (Note: Any associated costs will be at the attendees' expense).

Health Pass by CLEAR Protocol Onsite

NAPABA has partnered with Health Pass by CLEAR to facilitate our health screening protocols. To be admitted into the 2021 NAPABA Convention, attendees must upload their proof of vaccination through Health Pass by CLEAR no later than Monday, December 6, 2021 at 11:59 pm ET. If an individual has sought a legitimate medical or religious exemption, a negative COVID-19 test must be performed within 72 hours of onsite arrival at the 2021 NAPABA Convention and results uploaded through Health Pass by CLEAR.

If an attendee is unable to provide proof of vaccination or a negative COVID-19 result through the Health Pass by CLEAR application, the attendee will not be permitted to enter the Convention and no refund will be provided. Read the Health Pass by CLEAR Instructions here.

Additional Safeguards

NAPABA will work with the Marriott staff before and during our Convention to ensure certain additional measures are taken to enhance the safety of Convention attendees and invited guests, including ensuring that:

  • Hand sanitizing stations are available and properly positioned.
  • Temperature screenings take place at Convention check-in and before each scheduled group event.
  • Extra masks are readily available for attendees and invited guests.
  • Surfaces in convening areas are treated with hospital-grade disinfectants with regular frequency.
  • Lobby signage reminds other hotel guests to maintain social distancing protocols; some furniture is removed or re-arranged to allow more space for distancing.
  • COVID-adjusted room capacity limits are adhered to.
  • Food inspections using prescribed food safety standards are conducted and validated.

CLE Certificate of Attendance

All Convention attendees will receive an email following the Convention with a link to our online CLE system. This email will contain instructions on how to confirm your participation and print your CLE certificate of attendance.

Attendees may be eligible to receive CLE credit for attending both in-person and on-demand programming. You will receive two certificates of attendance: one in December for the live presentations and a second certificate in February for any on-demand programs you viewed. Please note that you can only receive CLE credit for a session one time. If you attended a session in person, you are welcome to rewatch it on-demand, but you will only receive CLE credit for the live viewing.

Panelist Policy

CLE programs will be recorded live during the 2021 NAPABA Convention and made available for on-demand viewership mid-December through February 18, 2022. We are committed to featuring your panel during the Convention and balancing the programmatic experiences of our in-person and virtual attendees. As a result, we are happy to announce that after analyzing budget, technology, and staff resources, we will adapt each session to allow for both in-person and virtual speakers.

  • Each panel must feature at least two speakers who will appear in-person. 
  • If fewer than two people from a panel are unable to present in-person, you must withdraw your panel. Panels that are withdrawn will not automatically be transferred to the 2022 Convention and must be resubmitted for consideration next year.

Registration for the Convention will close on December 6 at 11:59 pm ET and walk-in or onsite registration will not be permitted. All moderators and speakers must register on or before December 6, regardless of in-person or virtual attendance.

    In-Person Attendance: If you are attending for two or more days, you must register and pay the full Convention registration. If you are attending only your speaking engagement, you must register for a complimentary one-day speaker pass.
    Virtual Attendance: If you are attending your speaking engagement virtually, you must purchase a virtual pass.

Speaker Resource Center

Moderators and speakers will receive an invitation to the NAPABA Speaker Resource Center (SRC). The SRC is a central location for you to:

  • edit your speaker profile they way you want your information to appear in Convention materials;
  • view your session information; 
  • upload your CLE materials; and
  • complete other tasks assigned to you by the NAPABA Convention team for a successful Convention.

Speaker Release Form Agreement

Submission Deadline: Friday, October 1, 2021 at 5 pm ET

All moderators and speakers must submit a speaker release form. Release forms may be uploaded to the Speaker Resource Center.

Speaker Invitation Letter

If your organization requires an invitation letter from NAPABA to approve your appearance at the Convention, we are happy to provide you with a formal invitation letter. To request an invitation letter, please email convention@napaba.org at your earliest convenience.

Onsite Tips

Arrive to your assigned room at least 10 minutes early to allow ample time for setting up your presentation. Please be mindful of the program that is slated to occur after your program so they have time to set up their presentations.

What to Bring

  • Your laptop with session slides. Mac users must bring their own cable hook-up to the projector.
  • USB flash/thumb drive with your session slides as backup
  • A slide advancer/presentation clicker (NAPABA does not provide this item)

  • HDMI hook up to projector
  • Headphone jack for audio output
  • Podium with mic; wired microphones
  • Shared conference Wi-Fi

Masks

We require all attendees, including moderators and speakers, to wear masks at the NAPABA Convention per our COVID-19 Safety Protocol. For your safety and comfort, we are providing a mask insert, which is a 3D-printed face mask insert designed to keep the mask away from the mouth to create more space when speaking during your presentation. Mask inserts will be available prior to your session time.

Virtual Tips

If you are speaking at the NAPABA Convention virtually, below are some best practices to optimize your virtual presence.

  • Virtual speakers will be participating via Zoom Meeting. Virtual speakers will see and hear each other and will hear speakers of their panel who are participating in-person; however, virtual speakers will not see in-person speakers or the audience. If there is only one virtual speaker on the panel, they will not see anything other than their own video feed. If you are sharing a slide deck or slide decks, below are your options:
    • Option 1: If you are sharing a slide deck during your panel, it is strongly recommended that virtual speakers control and share the slide deck PowerPoint presentation on their end to allow the audience to see both virtual speakers and the slide deck on the screen at the same time.
    • Option 2: If in-person speakers prefer to share the slide deck, they must join the Zoom meeting via their laptop. You must mute your microphone and turn off your camera.
  • Reduce shadows by providing even, soft, and natural lighting on both sides of your face.
  • Raise your camera to eye level and look directly into the camera when speaking. Sit within arm's length of your camera.
  • Use a USB microphone if possible. Reduce outside noise by choosing a room in which you will be alone, and keep pets and children out of the room.
  • Remember that the audience will see the room around you, so make sure to clean and tidy anything that will appear in the background of your frame.
  • Run through your entire presentation in front of the camera and bring the energy that would naturally happen in front of an audience.

Standard Room: $199 single/double plus applicable taxes & fees

A block of rooms has been reserved at the Marriott Marquis Washington, D.C. from December 9-11, 2021 for attendees of the 2021 NAPABA Convention. The special room rate will be available until November 17, 2021 or until the group has sold-out, whichever comes first. 

  • Cut-off Date: The cut-off date for the NAPABA block is Wednesday, November 17 at 5 pm ET. After the cut-off date or after the block has been filled, rooms may still be available, but may be sold at the prevailing rate.
  • Cancellation: Guests must cancel their own reservations directly with the hotel at least 72 hours prior to arrival in order to avoid a one-night cancellation charge.
  • A periodic review of the room block will be conducted to ensure that attendees do not reserve multiple rooms. Attendees who reserve two or more rooms may have their additional reservations removed with notice.

NAPABA strives to keep the Convention affordable for our members and offers one of the best values among legal education conferences. Scholarship Rules

  • You must be a current member of NAPABA. If you are unsure about your NAPABA membership, sign in to your NAPABA member profile here. All questions related to membership may be directed to membership@napaba.org.
  • Scholarships are non-transferable.
  • Group applications will not be accepted.
  • All scholarships will be awarded in the form of a reimbursement, which will be disbursed after the Convention has concluded. Scholarship recipients will receive a reimbursement form to be completed by December 17, 2021 and submitted along with copies of receipts.  
  • Submission of a scholarship application is not a guarantee of assistance. Decisions are final and are not subject to appeal.
  • NAPABA will only reimburse the following items:
    • Convention registration. Gala Only Admission and add-on tickets that include a meal (e.g. Thursday plenary luncheon, committee/network dinners) will not be reimbursed. 
    • Reasonable travel via air, train, or car. Upgrades, bag fees, tolls, car maintenance or damages will not be reimbursed.
    • Ground transportation from airport to Convention hotel.
    • Reasonable lodging. Upgrades, room service, or additional services will not be reimbursed.

Groups looking to host an event during the 2021 NAPABA Convention agree to abide by all operational policies and procedures that guide and govern NAPABA.

  1. Law schools, law firms, corporations, legal organizations, and NAPABA affiliates and partner organizations are eligible to submit an event request form to host an event at the official Convention hotel.

  2. Groups may offer hosted bars (host pays) or cash bars (attendee pays) for non-alcoholic beverages without limitation. Alcoholic beverages may be offered at events only after 5 pm. Alcoholic beverages must be ticketed. If alcoholic beverages will be served, groups may offer a hosted bar and provide no more than two drink tickets per attendee (the bar is not permitted to turn over to a cash bar), or a cash bar and provide one drink ticket per attendee, then the bar is turned over to a cash bar where the attendee pays for additional drinks. Open bars providing alcoholic beverages are not permitted.

  3. A separate and complete application must be submitted for each event.

  4. Requests are on a space available basis and are not guaranteed.

  5. Business meetings may only be held on Friday, December 10 between 3 – 5 pm OR Saturday, December 11 between 2 – 4 pm.

  6. Receptions may only be held on Thursday, December 9 from 5 – 6 pm OR Friday, December 10 from 5 – 6 pm OR Saturday, December 11 from 5 – 6 pm.

  7. NAPABA reserves the right to relocate any room assignment. Please do not publish the name of the assigned space for your event(s) until after November 19, 2021.

  8. NAPABA will list or publicize your event(s) in printed and online program materials.

  9. Groups must cover the cost of any food & beverage and audio/visual equipment ordered for their event(s) as well as any room setup and breakdown requests beyond the standard NAPABA room set options.

  10. NAPABA has the right to leave AV equipment, podiums, and head tables in rooms during your event(s).

  11. Groups will incur additional charges for equipment added onsite.

  12. Standard room sets are conference, theater, or reception. Specific rooms are selected based on the estimated attendance for the event and use of room prior to your event(s).


Fees and Requirements

  • Business Meeting: $250/hour
  • Reception/social hour: $750/hour
  • Payments must be made within 30 days of booking or space will be released.

Event Request Form

  • Complete an Event Request Form.
  • Email your form(s) to Meetings Coordinator Preet Lieu at plieu@napaba.org.
  • Once your event is approved by NAPABA, you will be put in touch with an event coordinator at the Marriott Marquis Washington, D.C. to finalize your food and beverage and audio visual needs.
