Call for Programs

As we continue to monitor the current situation regarding coronavirus, we at NAPABA recognize the disruption it has hadand may continue to haveon our members' daily lives.

With that in mind, we’re extending our deadline for the 2020 NAPABA Convention Call for Programs to April 20 at 5 p.m. ET to provide you more time to submit your proposal.

We also understand that the current situation may impact your ability to secure speakers for your program ideas as people's schedules change. We want to reassure you that the CLE Committee will take the current events into consideration upon reviewing the submissions and will not count the lack of "confirmed" speakers against your submission. 

We still encourage you to include those who have expressed interest in speaking on your program as "confirmed" speakers, but we understand that their availability may change.

NAPABA is seeking submissions on a wide range of substantive legal matters and topics of concern to the legal community to deepen our members' knowledge and skills and provide them with opportunities to forge bonds through panel discussions, workshops, and interactive presentations for the 2020 NAPABA Convention.

General CLE Programming

We strive to represent a broad range of experiences, perspectives, and backgrounds in our Friday and Saturday CLE programming so as to appeal to the broadest extent of NAPABA’s diverse and multi-faceted membership.We are also mindful of the feedback we have received from past attendees, such as requests to include more programs about public interest and non-traditional lawyering. We are committed to inclusivity and innovation, but we need your help to expand the scope of submissions to include all of the topics that are of interest to our membership.

  • Do you want more skills training focused on non-profit, government, and public interest lawyers? Develop a program and urge your friends to do the same!
  • Are you interested in integrating mental health and wellness concepts into your law practice? Talk to your mentors and colleagues who are more focused on these issues and encourage them to put together a CLE submission!
  • Do you reject the traditional lawyering paradigm and want to proselytize about alternative career paths and other models of success? Share your program ideas with us!

Thursday Specialty Programming

In addition to the general Call for Programs, NAPABA is also seeking submissions on behalf of the International Law Committee and the Solo & Small Firm Network, whose programs will be held during our Thursday Specialty Programming slot.  Programs submitted for a Thursday Specialty Programming slot will not be considered for general programming and vice versa.

What is Thursday Specialty Programming? On Thursday of the Convention, special workshops and programs are held by our committees and networks to provide you with the deep-dive skills and knowledge to excel in your practice and career. This series of workshops is designed to give you experiential learning opportunities in an immersive and interactive environment and provide you with the opportunity to get into the details with experts in the field, beyond what may be possible during a general CLE session. This year’s Thursday Specialty Programming tracks, held concurrently, include:

  1. International Law Symposium presented by the International Law Committee
  2. Solo & Small Firm Bootcamp presented by the Solo & Small Firm Committee
  3. Women's Leadership Workshop presented by the Women's Leadership Network - not seeking submissions

How to Submit a Program

  1. Review the 2020 Submission Policies and Guidelines for details on our selection criteria. Failure to comply with our policies and guidelines may result in the rejection of your submission. For an in depth review of the policies and guidelines and tips on how to craft your submission to increase the likelihood of getting accepted, view last year’s webinar, Insider Tips from the CLE Committee.

  2. Decide if you are submitting your program for general CLE programming (Friday or Saturday slot) or for one of the Thursday Specialty Programs. You may not submit the same program for both general CLE programming and Thursday Specialty Programming. Programs rejected for one of these slots will not be considered for the other slot.  

  3. Gather the details required to submit your program:
    1. Title (100 characters or less)
    2. Description (1500 characters or less, roughly 250 words)
    3. Interactivity of program
    4. Learning objectives
    5. Speaker Details
      1. First and Last Name
      2. Moderator or Speaker?
      3. Confirmed or Invited?
      4. Educational degrees such as BA, JD, MBA, etc.
      5. Email Address and phone number
      6. Job title and employer name
      7. Short biography (1500 characters or less, roughly 250 words) that will be published in Convention materials

  4. IMPORTANT! The submitter must be a confirmed moderator or speaker on the program that is being submitted. NAPABA will only be sending emails to the submitter throughout the Call for Programs process, and the submitter will be considered the primary contact for your program if it is accepted.

  5. Submit your program by April 20, 2020 at 5 p.m. ET. Late submissions will not be considered. Do not wait until April 20 to begin the submission process as questions that arise on the day of submission deadline may not be answered in a timely manner. You may begin the submission process and save a partially completed application at any time. Once you save your work, edits can be made any time before April 20 at 5 p.m. ET. 

After April 20, the CLE Committee will carefully review and evaluate all submissions received. All submitters will receive a decision via email the week of June 22-26. Please keep in mind that NAPABA receives over 100 submissions and can only accommodate a portion of the submissions received.

International Law Symposium presented by the International Law Committee
For the past ten years, the International Law Committee has presented an annual International Law Symposium at the NAPABA Convention. The Symposium begins with a luncheon followed by CLE sessions on a range of public and private international law topics. In past years, CLE sessions have focused on cutting-edge areas of international law including intellectual property, national security and dispute resolution. Previous luncheon speakers have included diplomats, federal judges, international business leaders and prominent authors.

The Women’s Leadership Network hosts a workshop each year at the annual NAPABA Convention focused on issues specific to advancing the careers of APA women attorneys at all stages of their careers. The workshop focuses on topics such as leadership, soft skills, career advancement/business development, and addressing cultural barriers or other such issues which may be impacting APA women in their legal careers. The content is delivered through a mix of a luncheon keynote, panel discussions, and interactive skills seminars.

The Solo & Small Firm Boot Camp provides programming that is specifically tailored to the needs of solo and small firm practitioners, as well as those interested in starting a solo or small firm practice. In past years, the Solo & Small Firm Boot Camp included CLE sessions on a variety of soft skills and substantive topics including business development, law office management/expansion, presentation skills and strategy, a multidisciplinary approach to advising entrepreneurs, and employment law.

The NAPABA room block at the JW Marriott Los Angeles L.A. LIVE will open on June 15, 2020.

A block of rooms has been reserved at the JW Marriott LA LIVE from Nov. 4 - 8, 2020 for attendees of the 2020 NAPABA Convention. The special room rate will be available until Oct. 14, 2020 or until the group has sold-out, whichever comes first. 

  • Cut-off Date: The cut-off date for the NAPABA block is Wednesday, Oct. 14 at 6 p.m. ET. After the cut-off date or after the block has been filled, rooms may still be available, but may be sold at the prevailing rate.
  • Cancellation: Guests must cancel their own reservations directly with the hotel at least 24 hours prior to arrival in order to avoid a one-night cancellation charge.
  • A periodic review of the room block will be conducted to ensure that attendees do not reserve multiple rooms. Attendees who reserve two or more rooms may have their additional reservations removed with notice.

NAPABA strives to keep the Convention affordable for our members and offers one of the best values among legal education conferences. Scholarships may be used towards Convention registration, airfare, lodging, and/or ground transportation. Apply for a scholarship today to defray the cost of Convention!


Scholarship Rules

  • You must be a current member of NAPABA. If you are unsure about your NAPABA membership, sign in to your NAPABA member profile here. All questions related to membership may be directed to membership@napaba.org.
  • Scholarships are non-transferable.
  • Group applications will not be accepted.
  • All scholarships will be awarded in the form of a reimbursement, which will be disbursed after the Convention has concluded.
  • Submission of a scholarship application is not a guarantee of assistance. Decisions are final and are not subject to appeal.
  • NAPABA will only reimburse the following items:
    • Convention registration. Gala Only Admission and add-on tickets that include a meal (e.g. Thursday plenary luncheon, committee/network dinners) will not be reimbursed. 
    • Reasonable travel via air, train, or car. Upgrades, bag fees, tolls, car maintenance or damages will not be reimbursed.
    • Ground transportation from airport to Convention hotel.
    • Reasonable lodging. Upgrades, room service, or additional services will not be reimbursed.

CLE Certificate of Attendance

All Convention attendees will receive an email following the Convention with a link to our online CLE system. This email will contain instructions on how to confirm your participation and print your CLE certificate of attendance. Deadlines

  • Thursday, May 30, 2019 – Primary contacts will be notified of their program status.

    • FINAL CLE materials are due.

Moderators and speakers must register for the NAPABA Convention. NAPABA Offers two options for moderators and speakers to register:

OPTION 1: ATTENDING TWO OR MORE DAYS OF CONVENTION - Moderators and speakers must pay the full Convention registration rate, which includes admission to all plenary luncheons (except Thursday luncheons), CLE sessions, receptions, business meetings, and the gala.

OPTION 2: ATTENDING THE DAY OF PRESENTATION ONLY - Moderators and speakers may register for complimentary admission if they plan to attend ONLY the day of the speaking engagement. This option provides access to CLE sessions on the day of your speaking engagement ONLY and does not include lunch on Thursday, any dinners, or gala admission.

All costs associated with attending the NAPABA Convention, including registration, housing, and travel is the responsibility of each moderator and speaker. Although NAPABA does not provide reimbursements, registration discounts, or honoraria to any moderator or speaker presenting at the Convention, we encourage moderators and speakers to take advantage of our scholarship program to help defray the cost of attending.

Submission Deadline: Friday, August 30, 2019 at 5 p.m. ET

Unless prior authorization has been provided by Deputy Director Priya Purandare, each program is REQUIRED to submit written materials relating to their program for continuing legal education (CLE) accreditation. NAPABA will apply for CLE credit on behalf of all programs; however, each program must prepare and supply NAPABA with the required written materials. Please review our CLE Written Materials Guidelines (see below) on how to prepare your materials.

Failure to submit CLE written materials by the CLE deadline or to comply with the guidelines may result in no CLE credit or cancellation of your program. Additionally, programs that do not provide CLE credit may result in fewer attendees than accredited programs.

Submission Guidelines

Completed materials must be in PDF format and combined in one single PDF file. Completed materials must be submitted via the Box link that was emailed to the primary contact in June. Other speakers who need access to the Box link may email Meetings Manager Pang Moua for access.

Your program details and speaker information will be published on the NAPABA registration website. Please review your information for correctness. Should you need to make minor edits to your program, speaker information, or speaker lineup, please email Meetings Manager Pang Moua with your edits. Major changes to your program—such as title or description change or substituting/adding speakers—must be raised with your CLE Committee Liaison and authorized by Pang Moua.

Your liaison will check in with you throughout the year and guide you along the way as you prepare your program for the Convention. Your liaison can also provide advice or recommendations on the content of your program. Check your acceptance email for your assigned liaison.

All NAPABA CLE programs are alloted 75 minutes. Rehearse your presentation and be sure to stay with the time allotted so that all speakers have an opportunity to speak and there is ample time for Q&A and for the next group to set up their program. We have put together some moderating guidelines to help you stay on track during your presentation.

Arrive to your assigned session room at least 10 minutes early to allow ample time for setting up your presentation. Please be mindful of the programs that are slated to occur right after your program so they have ample time to set up their presentations.

  • Your laptop with session slides. Mac users must bring their own cable to hook-up to the projector.
  • USB flash/thumb drive with your session slides (just in case!)
  • A slide advancer/presentation clicker, if you want one (NAPABA does not provide this item)

NAPABA is excited to offer a new pilot program to our 2019 NAPABA Convention speakers! Speakers who express an interest in one-on-one speaker coaching will be considered on a first-come, first-served basis for one FREE hour with a Communications Coach to help improve their speaking presentation style in advance of the NAPABA Convention. NOTE: Speakers and moderators may not serve on more than one panel at the NAPABA Convention. NAPABA may exercise discretion to add, remove, or substitute speakers.

Q. How long are sessions?
All CLE programs are allotted 75 minutes. We recommend structuring your program for 60 minutes with a 15-minute Q&A portion.

Q. Will my session be recorded?
No. NAPABA does not record CLE sessions or allow outside professionals to record sessions.

Q. Can I bring a family member or colleague to watch my presentation?
Guests are not allowed to attend CLE sessions. If you have a guest who would like to attend your program, they must purchase a full Convention registration or a One Day registration.

Host an Event at the NAPABA Convention

Interested in reaching NAPABA attendees gathered in Austin for the NAPABA Convention? Take advantage of this critical mass and host an event to promote your affiliate, law firm, company, legal organization, or law school.


Policies

Groups looking to host an event during the 2019 NAPABA Convention agree to abide by all operational policies and procedures that guide and govern NAPABA.

  1. Law schools, law firms, corporations, legal organizations, and NAPABA affiliates and partner organizations are eligible to submit an event request form to host an event at the official Convention hotel.

  2. Groups may offer hosted (host pays) or cash (attendee pays) bars for non-alcoholic drinks without limitation. Alcoholic drinks may be offered at events only after 5 pm. If alcoholic drinks will be served, groups may offer only hosted bars and all alcoholic drinks must be ticketed, with groups providing no more than one drink ticket per hour to attendees. Open bars providing alcoholic drinks are not permitted.

  3. A separate and complete application must be submitted for each event.

  4. Requests are on a space available basis and are not guaranteed.

  5. Business meetings may only be held on Friday, Nov. 8 between 3 – 5 pm OR Saturday, Nov. 9 between 2 – 4 pm.

  6. Receptions may only be held on Thursday, Nov. 7 from 5 – 6 pm OR Friday, Nov. 8 from 5 – 6 pm.

  7. NAPABA reserves the right to relocate any room assignment. Please do not publish the location of your event(s) until after October 18, 2019.

  8. NAPABA will list or publicize your event(s) in printed or online program materials.

  9. Groups must cover the cost of any food & beverage and audio/visual equipment ordered for their event(s) as well as any room set up and break down requests beyond the standard NAPABA room set options.

  10. NAPABA has the right to leave AV equipment, podiums, head tables in rooms during your event(s).

  11. Groups will incur additional charges for equipment added on-site.

  12. Standard room sets are conference, theater, or reception. Specific rooms are selected based on the estimated attendance for the event and use of room prior to your event(s).


Fees and Requirements

  • Business Meeting: $250/hr
  • Reception/social hour: $750/hr
  • Payments must be made within 30 days of booking or space will be released.

  • Email your form(s) to Meetings Manager Pang Moua at pmoua@napaba.org.
  • Once your event is approved by NAPABA, you will be put in touch with an event coordinator at the JW Marriott Austin to finalize your food and beverage and audio visual needs.
